Administrative Coordinator

As part of the Strategy and Operations Team, the Administrative Coordinator will provide administrative support for contracting and procurement, human capital management, and strategic coordination for NYC Opportunity initiatives and teams. This position will provide support, develop expertise, and have ownership of various office-wide systems (such new hire onboarding, agency fiscal reporting, professional development). This position will coordinate with the Human Resources Administration (NYC Opportunity’s fiscal agent), Mayor’s Office human resources and fiscal teams, and other agencies.

The position will report to the Deputy Director of Strategy & Operations, but will also support and work closely with the Director of Administration & Finance and Director of Programs & Evaluation.


  Responsibilities

Contracting and Procurement

  • Understand and follow City and agency procurement and fiscal processes.
  • Manage contracting workflow and administrative tasks using City reporting tools for tracking and reporting; initiate and/or report out to team on pending action items.
  • Identify resource needs of NYCO teams and reach out to vendors for pricing quotes.
  • Prepare documentation for contract and purchase order requests; including internal budget approval and submission for contract registration.
  • Liaise with HRA contracting teams to track progress towards registration; provide updates and follow up on next action steps.
  • Process and track invoices, prepare submission documents for payments, track payment status and troubleshoot as needed; coordinate communication with vendor on payment status.
  • Update contract budget documents and inventory documents (eg, review available funds and seek encumbrance, complete budget submission request).
  • Manage annual fiscal year reporting related to contracting and accruals (LL63, LL1, accruals and closeout).

Human Capital Management

  • Support recruitment by tracking development of job descriptions, complete paperwork for new position approval, post new positions; track incoming resumes and support hiring manager with interview panels.
  • Manage new hire submission paperwork/administration with MO and agencies; request access to equipment (mobile, badges), track new hire training completion.
  • Maintain and update MO and agency records and forms related to Human Resources, travel etc.
  • Support hiring managers in recruiting, screening, onboarding, and providing professional development for NYC Opportunity staff and fellows.
  • Submit and track IT requests for staff with DOITT, City Hall or agency IT office.

Strategic Coordination

  • Help develop and coordinate office-wide activities such as quarterly all-staff meetings, trainings, and intra-office communication processes.
  • Assist with NYC Opportunity strategic communications (eg, blog posts).
  • Assist with Diversity, Inclusion and Equity working group project management.
  • Prepare data for internal and external use.
  • Execute special projects, as necessary.

Experience in policy, government or non-profit, in particular with low-income and vulnerable youth and families is a plus.

Strong administrative and organizational skills (through work, volunteer, or academic experience).

Detail-oriented and can see the big picture.

Proficient with Excel and/or Google Sheets and familiar with databases or project management tracking tools.

Capable of breaking down multi-step processes into their components and tracking, anticipating and prioritizing tasks

Enjoys being proactive and using creative problem-solving skills in a fast paced environment. .

Familiarity with procurement, contracting, and finance administration

  Education and Experience

Bachelor’s degree + at least 4 years of relevant work experience.

  Benefits and Compensation

This is a permanent, full-time position offering competitive salary and benefits. The salary range for this position is $60,000 - $75,000 commensurate with experience and qualifications.

This position will require work from our office in Downtown Manhattan. Please note that as of September 13, 2021, NYC government employees are no longer working remotely.
