Executive Administrative Coordinator

The Mayor’s Office for Economic Opportunity (NYC Opportunity) helps the City apply evidence and innovation to reduce poverty and increase equity. We advance research, data and design in program and policy development, service delivery, and budget decisions. Our work includes analyzing existing anti-poverty approaches, developing new interventions, facilitating the sharing of data across City agencies, and rigorously assessing the impact of key initiatives.

NYC Opportunity manages a discrete fund and works collaboratively with City agencies to design, test and oversee new programs and digital products. NYC Opportunity also produces research and analysis of poverty and social conditions, including its influential annual Poverty Measure, which provides a more accurate and comprehensive picture of poverty in New York City than the federal rate. Part of the Mayor’s Office of Operations, NYC Opportunity is active in supporting the de Blasio administration’s priority to make equity a core governing principle across all agencies.

NYC Opportunity seeks an Executive Administrative Coordinator to support administration, office management, performance management, contracting and procurement.


  Responsibilities

Tasks will include, but are not limited to:

  • Administrative support for the senior team, including drafting correspondence, scheduling meetings, taking notes/minutes, filing, tracking and responding to email correspondence, making travel arrangements.
  • Handle and expedite administrative office matters such as coverage of the reception desk, keeping track of staff vacation schedules, ensuring adequate office supplies, and preparing for convenings and events.
  • Coordinate senior team and staff meetings.
  • Prepare and submit documents related to approval and payment for staff travel and procurement of vendor services.
  • Track and process all contracting related documents, including creating cover letters, serving as liaison with Contract and Finance teams.
  • Respond to and track requests for help from individuals or entities outside the agency.
  • Assist with submission of internal reports and the publication of external reports.
  • Conduct research in support of office priorities, procurement, planning as needed.
  • Proofread and editing of documents.
  • Other tasks deemed necessary by the senior staff team.

  Skills We're Seeking

Strong administrative and organizational skills.

Proficient with Excel and Outlook.

Ability to exercise independent judgment and maintaining the confidentiality of sensitive information.

Self‐motivation to guide a project through design, execution, and completion while engaging the support of the team/ management.

Be proactive and use creative problem solving skills in a fast paced environment.

Highly organized and detail‐oriented.

Excellent oral and written communication skills.

Familiarity with the City of New York procurement and contracting processes is a plus.

  Education and Experience

A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above;

or

High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above.
